ABOUT THE ROLE
We’re looking for a detail-driven Utilities Coordinator to own and manage utility operations across our 400+ retail locations. This is a high-impact role at the intersection of cost control, vendor management, and operational continuity — touching everything from new store setups and acquisitions to high-bill investigations and provider transitions. The ideal candidate is highly organized, analytically sharp, and comfortable managing a large volume of accounts while juggling competing priorities in a fast-moving, growth-oriented environment.
KEY RESPONSIBILITIES
Track, audit, and maintain utility accounts across all 400+ locations, ensuring account accuracy and up-to-date status at all times
Monitor utility usage across the portfolio, identify high-bill anomalies, investigate root causes, and coordinate resolution with vendors and field teams
Manage utility setup for new location openings and acquisitions, ensuring services are established prior to activation dates
Coordinate utility deactivations for store closures, relocations, and dispositions in a timely and organized manner
Facilitate utility account transfers when store locations change ownership, operator, or address — ensuring no lapse in service
Manage provider changes across markets, including evaluating available options and coordinating seamless transitions with minimal disruption
Build and maintain strong vendor relationships with utility providers across all operating markets and states
Serve as the primary point of contact for utility-related escalations from field operations, district managers, and corporate leadership
Maintain organized records of all utility accounts, providers, billing history, and status changes across the portfolio
Identify cost-saving opportunities, flag unusual usage trends, and provide regular reporting to leadership on utility spend and status
Partner cross-functionally with real estate, operations, and finance on utility-related matters tied to acquisitions, store moves, and new market entry
Monitor billing cycles to ensure timely payment processing and proactively prevent service interruptions across all locations
QUALIFICATIONS & SKILLS
2–4 years of experience in utilities management, facilities administration, multi-site operations, or a related field
Experience managing high-volume accounts or vendor relationships across multiple locations preferred
Strong analytical skills with the ability to identify billing discrepancies, usage trends, and cost anomalies
Highly organized and detail-oriented, with the ability to manage a large portfolio of accounts without things slipping
Proficient in Microsoft Excel or similar tools for account tracking, data analysis, and reporting
Strong verbal and written communication skills with experience working directly with external vendors
Ability to manage competing priorities and meet deadlines in a high-volume, fast-moving environment
PREFERRED BACKGROUND
Utilities, facilities, or property management background with multi-site exposure
Multi-location retail, restaurant, or telecom operations experience
Experience supporting acquisitions, store relocations, or real estate transitions
Familiarity with utility account management platforms, energy management systems, or CMMS tools
Experience with deregulated energy markets a plus
